DemoHub Privacy Policy
This policy explains what information ArchitectNow, LLC (“ArchitectNow”, “we”, “us”) collects through ArchitectNow DemoHub at demohub.architectnow.net (“DemoHub”), how we use it and the choices you have. It is adapted from the ArchitectNow Privacy Notice, which continues to govern our public website; this policy governs DemoHub and its voice and text-message demonstration program.
Who DemoHub is for
DemoHub is a private portal for ArchitectNow employees. There are no public accounts and no sign-up. The people whose information DemoHub holds are ArchitectNow employees, and the only people who receive demonstration calls or text messages are employees who have opted in.
What we collect
- Sign-in information. When you sign in with your ArchitectNow work account, Microsoft Entra ID provides your name, work email address, directory identifiers and group membership so DemoHub can confirm you are an authorized employee. DemoHub records when you signed in and keeps essential cookies so you stay signed in for a fixed period.
- Demonstration records. Files, prompts and settings used in demonstrations, conversations with the built-in assistant, and the transcripts and summaries of voice and text-message demonstrations, together with the name of the employee who ran each one. No call audio is recorded; the transcript is the record.
- Voice and SMS contact information. If you opt in to demonstration calls and texts, we collect your name, mobile phone number and work email address, and we record when the approved contact list was last changed.
- Technical information. Standard request logs and hosted service telemetry (page, timing and error data) used to keep DemoHub running. Telemetry never contains message content, prompts, identity values or full phone numbers.
How we use it
- To confirm you are an authorized ArchitectNow employee and to keep DemoHub secure.
- To run demonstrations, including placing the calls and sending the text messages you opted in to receive.
- To keep records of demonstrations and assistant conversations for review by authorized ArchitectNow employees, and to account for the cost of the AI services used.
- To comply with legal obligations and protect ArchitectNow’s rights.
We do not use DemoHub information for advertising, we do not sell it, and we do not share it with third parties for their own marketing.
SMS and voice messaging
DemoHub sends automated voice calls and SMS text messages only to ArchitectNow employees who have opted in as described on the SMS and voice consent page. We collect your name, mobile phone number and work email address for that purpose, and we use them only to place the demonstration calls and send the demonstration text messages you agreed to receive and to keep a record of your consent.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Information sharing with subcontractors in support services, such as the messaging provider that delivers our calls and texts, is permitted. All other categories described in this policy exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.
You can opt out at any time by replying STOP to any text message or by asking a DemoHub administrator to remove you from the approved contact list. Reply HELP, email info@architectnow.net or call (800) 362-3919 for help. Message and data rates may apply.
Who we share it with
We share information only with service providers that run DemoHub on our behalf and under our instructions:
- Microsoft — Azure hosting, storage and database services, Microsoft Entra ID sign-in, and Azure AI services that generate demonstration responses.
- Twilio — the telephony provider that places demonstration calls and delivers text messages. Twilio receives the mobile number being called or texted and the content of that call or text in order to deliver it.
We may also disclose information when required by law or legal process, to protect the rights, property or safety of ArchitectNow, its employees or others, or as part of a reorganization or sale of ArchitectNow’s business.
Cookies
DemoHub uses only essential cookies: the sign-in cookie, a cookie that remembers that this browser signed in before so it can sign in again silently, and a security token that protects forms. It uses no advertising cookies and no third-party analytics.
How long we keep it
- Sign-in cookies expire on a fixed schedule. The remembered-browser cookie lasts up to 90 days and grants no access by itself.
- Demonstration records and assistant conversations are retained so authorized employees can review them. Contact us to ask for a record to be removed.
- Your voice and SMS contact details are kept until you opt out or leave ArchitectNow, at which point you are removed from the approved contact list.
Security
DemoHub runs in ArchitectNow’s Microsoft Azure subscription. Access requires an ArchitectNow work account verified by Microsoft Entra ID, secrets are held in Azure Key Vault, files are stored privately and served only to signed-in employees, and every service call re-checks the caller’s employee status. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
Children
DemoHub is for ArchitectNow employees only. It is not directed at, and knowingly collects no information from, anyone under 16.
Your choices and rights
You can ask to see, correct or delete information DemoHub holds about you, or opt out of the messaging program, by contacting us below. Residents of states with consumer privacy laws may have additional rights described in the ArchitectNow Privacy Notice; the same contact details apply, and we will not discriminate against you for exercising them.
Changes to this policy
We may update this policy and will change the effective date above when we do.
