SMS and Voice Demonstration Consent

DemoHub’s conversation-agent demonstrations place automated phone calls and send SMS text messages so an audience can experience an AI agent over the phone. This page explains who receives those calls and texts, exactly how an ArchitectNow employee opts in, how that consent is recorded and kept, and how to opt out.

Who receives calls and texts

Only ArchitectNow employees on DemoHub’s approved demo contact list. The list is short (at most 25 entries) and every entry is a colleague’s name, mobile number and work email. The automated agent can call or text only a number on that list: there is no free-text destination anywhere in DemoHub, so a presenter cannot type in a number. Clients, prospects and members of the public are never called or messaged.

How an employee opts in

Consent is given by the employee, in writing, before their number is added to the list. The exact steps are:

1. The employee signs in to DemoHub with their ArchitectNow work account. Sign-in is verified by Microsoft Entra ID, which confirms the account belongs to an ArchitectNow employee in the DemoHub access group.
2. Under Admin → Settings → Voice & SMS → Approved demo contacts, the employee adds their own name, mobile number and work email and saves the list. Entering their own number and saving it is their express written consent to receive automated demonstration calls and text messages at that number.
3. If a colleague enters the details on the employee’s behalf, they do so only after the employee has agreed in writing, in an email or Microsoft Teams message sent from the employee’s ArchitectNow account, to receive demonstration calls and texts at that number. That written agreement is kept by ArchitectNow for as long as the employee stays on the list.

Consent covers automated voice calls and SMS text messages from DemoHub’s demonstration number, generated by an AI agent that follows the scenario an ArchitectNow employee is presenting (for example a fictional appointment check-in) and sent only while that employee is running a demonstration. Consent is not a condition of employment or of any purchase.

How consent is recorded and retained

• The approved contact list is stored in DemoHub’s database (Azure Cosmos DB) in ArchitectNow’s Microsoft Azure subscription, with the date and time it was last changed.
• Only signed-in, verified ArchitectNow employees can view or change the list. Every change is made under the employee’s own Entra sign-in, and saves use a concurrency check so one employee’s change cannot silently overwrite another’s.
• Every demonstration conversation is recorded with the employee who ran it, the contact it reached, the channel and the full transcript, and is retained for review by authorized employees. Full phone numbers are never written to logs or telemetry.
• An entry, and the consent it represents, is retained until the employee opts out or leaves ArchitectNow, and is then removed from the list.

How to opt out

• Reply STOP to any text message. Text messages to your number from that demonstration number stop immediately.
• Ask any DemoHub administrator (every authorized employee can do this) to remove you from the approved contact list. Once the list is saved, the agent can no longer call or text your number.
• Reply HELP to any text message, email info@architectnow.net or call (800) 362-3919 for assistance.

Sample messages

Messages are generated by the AI agent from the scenario being presented, so wording varies. Typical texts in the healthcare pre-visit check-in demonstration look like:

• “Hi Kevin, this is Dottie, the virtual assistant for the ArchitectNow DemoHub check-in demo, about your upcoming appointment with Dr. Lee on October 2. Can you confirm you will attend? Reply STOP to opt out.”
• “Thanks. To complete your intake form, could you confirm your date of birth?”
• “Have you had any COVID-19 symptoms in the last 14 days?”
